Meeting Notes

Overview

A personal library of notes from your video calls, captured automatically by Kanvas AI’s note-taking agent. Every call you host or join — channel calls, direct-message calls, personal meeting room calls (including ones with external guests), and CRM meetings — produces a note with a structured summary, decisions, action items, and the full transcript. Notes are written for you after the call ends; there is nothing to start, stop, or type.

Use it for: catching up on calls you hosted or attended, turning action items into board tasks, and finding what was decided without re-watching a recording.

How it works

  1. You finish a call anywhere in Kanvas AI — a channel or DM call, your personal meeting room, or a CRM meeting.
  2. The note-taking agent processes the call and writes a note: key topics, decisions, action items with owners, and insights, plus the transcript.
  3. The note appears in your Meeting Notes library, marked NEW. A count badge appears on the Meeting Notes entry in your profile menu, with an unread dot so you can spot it at a glance.
  4. You open the note to read the summary, expand the transcript, or send an action item to a board.
  5. Opening a note marks it read and clears it from your unread count.

Setup

Nothing to configure. Notes are captured automatically for every workspace member’s calls.

Usage

Open your library. Click your avatar in the top bar and choose Meeting Notes. An unread badge on the entry shows how many notes you haven’t opened yet.

Browse by recency. Notes are grouped into Today, This week, and Earlier, newest first. Each card shows the meeting title, when it happened and how long it ran, where it came from (a #channel, a direct message, your personal room, or a CRM meeting), who attended, and an Auto-summarized pill marking it as agent-written. Unread notes carry a NEW pill.

Search your notes. Use the search field at the top of the library to filter by title.

Read a note. Click a card to open the detail view. The summary is organised into Key topics, Decisions, Action items, and Insights & takeaways. Action items show their owner and a checkbox state from the call.

Send an action item to a board. Each action item has an add-to-board action that creates a task from it. Items already linked to a task show the linked task quietly inline.

Expand the transcript. The full transcript sits below the summary, collapsed to the first three turns. Expand it to read the whole conversation.

Calls with external guests. Guests who joined your personal room or a CRM meeting by link appear in the attendee list by the name they entered — they don’t need a Kanvas AI account.

Edge cases & limits

  • Notes appear after the call ends. There is no live or in-progress card — a note shows up in the library only once the agent has finished writing it, usually within a few minutes of the call ending.
  • Notes are read-only. The summary and transcript are agent-written and cannot be edited manually in this version.
  • Read status is shared per note. A note is marked read the first time anyone in its audience opens it, so it may not show as NEW for you if a teammate got there first.
  • Older notes may be unstructured. Notes captured before structured summaries shipped display as plain prose without the sectioned layout.
  • Audience is host and participants. A note is visible to the call’s host and participants who are workspace members. External guests appear as attendees but do not have a library of their own.
  • CRM Meetings — start video meetings from contacts and deals; their summaries also land on CRM timelines
  • Personal Meeting Room — your permanent video link whose calls feed Meeting Notes
  • Chat — channel and direct-message calls
  • Tasks & Boards — where action items go when you add them to a board
