Personal Meeting Room

Overview

Every Kanvas AI user gets a permanent, personal video meeting room with a unique shareable link. Share the link with anyone — they join through a browser-based lobby without needing a Kanvas AI account. Your room is automatically created when you sign up or accept a workspace invitation, and the same link stays with you for as long as you use Kanvas AI.

Use it for: quick ad-hoc calls, recurring one-on-ones, external syncs where you want a stable “meet me here” link, or any conversation that does not need to be tied to a specific CRM contact or deal.

How it works

  1. When you sign up for Kanvas AI or accept a workspace invitation, a personal meeting room is created for you automatically. No setup is required.
  2. You find your personal meeting link in Profile settings and copy it with one click.
  3. You share the link with anyone — teammates, clients, external collaborators.
  4. Guests open the link in their browser, enter their name, and wait in a lobby until you admit them.
  5. You join the same link as the host and control who enters the room.

Setup

There is nothing to configure. Your room is ready from the moment you create your Kanvas AI account or accept an invitation into a workspace. Visit Profile settings to see your personal meeting link and copy it.

Usage

Find your meeting link. Open your profile settings page. Your personal meeting room URL is displayed in a read-only field with a Copy button next to it.

Share the link. Paste the copied URL into an email, chat message, calendar invite, or your email signature. The link never changes, so recipients can bookmark it for future calls.

Admit guests. When someone opens your link and enters their name, they wait in a lobby. You see a notification inside the meeting and choose to admit or deny them.

Rejoin a meeting. If you leave the room, you can return to the same link at any time. Guests who leave see a confirmation screen with a Rejoin option.

Edge cases & limits

  • One room per user. Each user has exactly one personal meeting room. The link is unique to your account, not to any specific workspace.
  • Lobby is always on. Guests are never admitted automatically — you must approve each person who knocks, keeping uninvited visitors out.
  • Deactivation on leave. If you are removed from every workspace you belong to, your room is deactivated and visitors see a “Meeting unavailable” page. Your link and room address are preserved so nothing breaks if you come back.
  • Reactivation on rejoin. If you later accept a new invitation or rejoin a workspace, your room is reactivated with the same link — no new URL, no setup.
  • Distinct from CRM Meetings. CRM Meetings are one-off rooms tied to a specific contact or deal and produce AI summaries on the activity timeline. Your personal meeting room is always-on and not linked to any CRM record.
